WhatsApp Business app vs API: which one does your business need?

· 7 min read · WhatsApp Business

Short answer: Use the WhatsApp Business app if one or two people answer customers from a phone; it's free. Move to the WhatsApp Business Platform (API) when several people need to answer from the same number, when you send order or delivery notifications automatically, or when WhatsApp has to connect to your other tools. The API is paid per delivered message that you send; messages customers send you are free. Once you're on the API, a shared inbox for WhatsApp, Instagram and Facebook lets the whole team work the same conversations without stepping on each other.

Side by side

  • Cost — WhatsApp Business app: Free; WhatsApp Business Platform (API): Paid per delivered message you send, by category and recipient country
  • How you use it — WhatsApp Business app: Phone app (and WhatsApp Web on a computer); WhatsApp Business Platform (API): Through software: an inbox, CRM, chatbot or your own system
  • Team use — WhatsApp Business app: Practical for one or two people; WhatsApp Business Platform (API): Built for many agents on one number
  • Automation — WhatsApp Business app: Quick replies, greeting and away messages; WhatsApp Business Platform (API): Templates, notifications, integrations, bots
  • Best for — WhatsApp Business app: Small shops, solo sellers; WhatsApp Business Platform (API): Growing teams, e-commerce, service businesses

If automation is the reason you're looking at the API, our guide to the WhatsApp chatbot explains what a bot can handle and what it costs.

How API pricing works

According to Meta's pricing page:

  • Per message: Since 1 July 2025, Meta charges per delivered message, not per 24-hour conversation. The price depends on the message category and the recipient's country.
  • Inbound is free: Meta doesn't charge for messages users send to businesses.
  • Template messages can be sent at any time: marketing, utility (order and delivery updates) and authentication (one-time codes).
  • Service messages are free-form replies, allowed only inside the 24-hour customer service window that opens when a customer messages you.
  • Change on 1 October 2026: each business phone number gets 1,000 free service messages per month. Service messages beyond that, and utility messages sent inside an open window, are now billable. Unused free messages don't roll over.
  • Free entry point: if a customer reaches you from a Click to WhatsApp ad, the window that opens when you reply can stay open for up to 7 days, and messages in it are free.

If you connect through a Business Solution Provider (BSP), the provider's own fee comes on top of Meta's rate.

Signs you have outgrown the app

  • Two or more people take turns on the same phone.
  • Customers wait because nobody knows who is handling a chat.
  • You copy order numbers from WhatsApp into another system by hand.
  • Messages also arrive on Instagram and Facebook, and you switch apps all day.

Keeping API costs down

  • Answer inside the service window. Replies within 24 hours of the customer's message count against the 1,000 free service messages per month.
  • Send fewer, better marketing messages. Marketing is the most expensive category.
  • Use Click to WhatsApp ads when you advertise: conversations from them get a free window of up to 7 days.

Can I keep using the app after moving to the API?
