WhatsApp Business multiple users: how a team can share one number in 2026

· 14 min read · WhatsApp Business

Short answer: Yes, WhatsApp Business supports multiple users on the same number, in three ways. The free WhatsApp Business app lets you link up to four devices to your main phone, so up to five people can answer from one number. With multi-agent, part of a Meta Verified or Meta One subscription, you can link up to 10 devices and assign chats to individual agents. Beyond that, or if you need reporting, more channels and clear ownership of every conversation, you move the number to the WhatsApp Business Platform (API) and work from one shared inbox for the whole team. This guide explains each option, its limits and how to keep a shared number secure.

Can two people use the same WhatsApp Business number?

They can, and they don't need to pass one phone around. Since 2023, WhatsApp has let businesses link extra phones and computers to a single account. WhatsApp's own announcement said the change means more employees can answer customers directly from their own phones under the same business account.

What changes as your team grows is how much control you get:

  • Devices or users — Linked devices (free app): Main phone + up to 4 linked devices; Multi-agent (subscription): Up to 10 devices; API + shared inbox: Set by your inbox software
  • Assign chats to agents — Linked devices (free app): No; Multi-agent (subscription): Yes; API + shared inbox: Yes
  • See who sent a message — Linked devices (free app): No; Multi-agent (subscription): Yes; API + shared inbox: Yes
  • Other channels (Instagram, email) — Linked devices (free app): No; Multi-agent (subscription): No; API + shared inbox: Depends on the software
  • Cost — Linked devices (free app): Free; Multi-agent (subscription): Subscription; API + shared inbox: Meta charges per delivered message you send, plus the software

Option 1: Linked devices in the free WhatsApp Business app

The simplest setup. According to WhatsApp's help pages:

  • You can use up to four linked devices and one phone at a time.
  • Linked devices work without your phone being online, but they log out if the main phone isn't used for more than 14 days.
  • You still register the account and link every new device from the main phone.
  • Linked devices can be computers (WhatsApp Web or Desktop), Android tablets or companion phones.
  • Some features don't work on linked devices: creating or viewing broadcast lists, sharing live location and adding status.
  • WhatsApp automatically disconnects linked devices after 30 days of inactivity.

How to link a device: open WhatsApp Business on the device you want to add so it shows a QR code. On the main phone, go to Linked devices > Link a device (on iPhone, under WhatsApp Settings) and scan the code. To add a second phone, install WhatsApp Business on it and choose Link as companion device instead of registering a new number.

Where it falls short: everyone sees every chat, and there's no way to say "this customer is Maria's." Two people can answer the same customer at the same time, or both can assume the other one did. For two or three people working closely together, it's usually fine. For a team that rotates shifts, it gets messy quickly.

Option 2: Multi-agent with Meta Verified or Meta One

WhatsApp's paid tier adds team features to the app. The multi-agent help page lists:

  • Up to 10 linked devices instead of four. The exact maximum depends on the benefits in your Meta Verified or Meta One subscription.
  • Device names, for example the name of the agent using each device.
  • Chat assignment: select one or more chats, tap Assign chat and pick an agent. Agents can filter their list by "Assigned to you."
  • Message attribution: tap and hold a message to see which agent and device sent it. Customers can't see which agent or device replied, or who their chat is assigned to.

Limits worth knowing: with more than four linked devices, calls ring only on the main phone. Tablets aren't supported for multi-agent. If you cancel the subscription, only the four most recently active devices stay linked. WhatsApp also notes that the premium version may not be available to every account yet, so check under Tools > Subscriptions in the app.

Option 3: The WhatsApp Business API for larger teams

When more than about ten people need access, or WhatsApp is only one of several channels your team answers, the app stops being the right tool. On the WhatsApp Business Platform (API), the number is connected to software instead of a phone, and agents typically log in to that software with their own accounts. How many users you can add depends on the software, not on a device limit.

The trade-off is cost. Per Meta's pricing page, Meta doesn't charge for messages customers send you and charges per delivered message you send. Since 1 October 2026, each business phone number gets 1,000 free service messages a month (replies inside the 24-hour window after a customer writes); template messages, such as marketing or order updates, are charged by category and the recipient's country. Our guide to the WhatsApp Business API compares the app and the API side by side.

Moving a number to the API follows Meta's rules, so plan the switch with your provider rather than doing it in the middle of a busy week.

Which option fits your team?

  • One to five people, one location, informal handoffs: linked devices in the free app.
  • Up to ten people who need to know who owns which chat: multi-agent, if it's available on your account.
  • More than ten people, several shifts, or messages also arriving on Instagram, Facebook and email: the API with a shared inbox.
  • You need to measure response times or report by agent: the API with inbox software that offers reports; the app's help pages don't describe reporting by agent.

Ground rules for a shared WhatsApp number

Adding users is the easy part. Agreeing on how they work together is what keeps customers from getting two answers, or none.

  • Give every conversation an owner. Whoever picks up a chat follows it until it's closed. If you're on multi-agent or the API, use assignment rather than verbal agreements.
  • Agree on hours and handoffs. Decide who covers evenings and weekends, and leave an internal note before a shift ends.
  • Use saved replies for the common questions (hours, shipping, returns) so every agent gives the same answer, then personalize each one.
  • Escalate complaints to one person. Complaints get worse when three agents answer them differently. Our guide on how to respond to customer complaints has examples your team can adapt.
  • Keep a human in the loop if you automate. The WhatsApp Business Messaging Policy allows automation inside the 24-hour window but requires prompt, clear and direct ways to reach a person.

Keep a shared number secure

A shared business number holds customer names, addresses and order details. The FTC's guide Protecting Personal Information: A Guide for Business recommends limiting access to personal information to employees with a "need to know," explaining to staff why they shouldn't share passwords, and ending access as part of the routine when an employee leaves. Applied to WhatsApp:

  • Review linked devices regularly. WhatsApp's help page recommends it and lets you log out any device from the main phone. Turn on notifications so you can remove a device you don't recognize.
  • Remove a device the day someone leaves. Don't wait for the 30-day inactivity disconnect.
  • Avoid shared logins. On the API, give each agent their own account so you can switch off one person without affecting the others.
  • Don't ask for more data than you need in a chat. An order number is usually enough; never ask for full card numbers.

This isn't legal advice; state privacy laws can add their own requirements.

How Bombenda helps

Bombenda connects your number to the WhatsApp Business API and puts WhatsApp, Instagram, Facebook, email and website chat in one inbox, and every agent is added as a user of their own. Saved replies and tags come with every plan, and Starter includes one WhatsApp number and 5 users. On Team (10 users), you can assign conversations to people, set up team queues and use response time reports to see which chats are waiting; Pro raises this to 25 users and 3 numbers. Starter is $79 a month (tax excluded), and WhatsApp's per-message fees are passed through at Meta's rates with no markup. We guide you through Meta's approval steps and move your existing number with you.

FAQ

How many users can WhatsApp Business have for free?
The free WhatsApp Business app supports one main phone plus up to four linked devices, so up to five people can work from the same number at once. Multi-agent raises the limit to 10 devices, but it's part of a paid subscription.

Can multiple people use WhatsApp Business on different phones with the same number?
Yes. Install WhatsApp Business on the second phone, choose "Link as companion device" and scan the QR code with the main phone. The main phone must be used at least every 14 days or the linked devices log out.

Do customers see which employee replied?
No. With multi-agent, you can see which agent and device sent each message, but WhatsApp says customers can't see who replied or who their chat is assigned to.
